Reporting to the Development, Construction, Design and Tenant Coordination Departments, the Administrative Assistant will support administrative activities of several team members. Responsibilities include: •Organizes and implements administrative systems and procedures including filing systems both paper and electronic. This includes scanning of plans and organizing those plans by project in a systematic fashion. •Manages the day-to-day activities including project budgets, tracking AIA contracts, calendar management, invoicing data, scheduling meetings, lunches and dinners. •Coordinates all travel arrangements. Prepares itineraries and documents to facilitate travel. •Prepares corporate expense reports and reimbursements in a timely and accurate manner. •Creates and edits Microsoft Project schedules, PowerPoint presentations, Agendas, assists in the editing and preparation of other documents and reports for meetings. •Knowledge of Development, Design, Tenant Coordinator and Construction procedures/process and accounting, such as preparing vendor contracts. •Prepare Consultant Authorizations and AIA Contracts •Manages and updates the Contracts and Procedures log as well as the Tenant Coordinator project status report •Assists in communication with new tenants on all properties to expedite the utility turnover process, edits and tracks the delivery of premise letters, and prepares tenant allowance check list for accounting •Manages and maintains professional licensures and memberships. Basic requirements •Must be well organized, self-motivated, and detail oriented, with excellent interpersonal skills. •Follow up and reliability are a must. •Demonstrated ability to take initiative, set priorities, and meet deadlines. •Must be flexible and willing to take on new assignments. •Excellent judgment, discretion, and organization is required. •Highly proficient in the use of Microsoft software. •5+ years’ experience in a Development and Construction administrative role preferred.
