Position Description: Under the guidance and supervision of the Operations Manager, the Operations Coordinator assists in the care, preventative maintenance, and long-term preservation of shopping center physical assets. The Operations Coordinator supports operations and maintenance functions of the property and interfaces with other departments at the field level.
ï?§Under the direction of the Operations Manager, assists in aspects of tenant coordination and shopping center operations. Receives, coordinates and administers communication and activities with contractors and others related to build out of new tenant spaces ï?§Update and maintain tenant construction files containing punch lists and charge backs. Maintain accurate records of tenant construction files containing points of contact and timelines, dates of receipt, and plan review dates. ï?§Assist with administering check out procedures and documenting files. ï?§Supervise in-house staff of over 25 union housekeeping and maintenance personnel; including distributing/assigning work orders and follow up on timely completion. ï?§Supervise scheduling, including reviewing vacation requests and implementing the protocol for call out procedures and overtime requests. ï?§Monitor and supervise work to ensure proper techniques are used. ï?§Recommend disciplinary action and performance of staff to management. ï?§Supervise payroll with Office Administrator for employees. ï?§Inspect and communicate property policies and procedures to tenants to ensure compliance of general aesthetics, standards of the common area, merchant storefronts, trash and recycle programs, mall related physical issues and any special operational problems or activities. ï?§Conduct regular inspections of all common area facilities/systems and report results to Operations Manager. ï?§Oversee outsourced service providers in the routine performance of the Landlord's work. ï?§Maintain blue print files and construction sample boards. ï?§Conduct routine property inspections of shopping center common areas, loading docks, service corridors, electric rooms, parking garages, and roof to ensure areas are kept clean, properly illuminated, and signage is current and accurate. ï?§Assist Tenant Coordination and Business Development with site surveys and/or access to vacant spaces for prospective tenants/architects/contractors. ï?§Assist with field inspections and tenant construction punch lists, including assisting with Fire Marshal occupancy inspections as required. ï?§Perform miscellaneous special project duties and office duties such as typing, filing, sorting and clerical support when needed. Office hours are 8:30 A.M. to 5:30 P.M. ï?§All other duties as assigned.
Requirements and Qualifications
ï?§High school diploma or equivalent. ï?§Two year's experience in building operations or construction job site experience. ï?§General knowledge of Microsoft office suite including Word, Excel and PowerPoint. ï?§Ability to lift up to 20 lbs. ï?§Ability to climb ladders. ï?§Must be able to read blueprints. ï?§Employee must have the physical capability to perform all core functions of the position.
