Description PURPOSE AND ACCOUNTABILITY The position supports the Real Estate Asset Manager in the administration of iA’s real estate portfolio for Western Canada and the USA and provides administration assistance to iA’s regional offices.
KEY ACTIVITIES In this role, you’ll be responsible for the final review of lease agreements, lease renewals, and assignments. You’ll need to ensure that the terms of offer and lease negotiations have been incorporated into the Agreements – you may need to collaborate with internal and external paralegals/counsel to achieve this.
You’ll be communicating with and acting as an information resource to property manager’s assistants, leasing agents’ administrators and external paralegals. We’re looking for someone who can independently resolve issues as they arise; to be successful you’ll need exceptional communication skills (written and spoken). You’ll also support the team by assisting with property/tenant related issues, which can involve collecting, reviewing, or verifying information.
You’ll also be responsible for updating reports (tenant scheduling, leasing activities, property assessments, taxes etc.), reviewing invoices (before submitting them for payment), gathering and reviewing information with regards to tenant improvement allowances, performing data entry for capital projects (recording funding requests, progression of projects etc.)
Support for the regional offices will include drafting corresponding for subtenants (late payments, rental payment changes etc.) and general filing/file management.
Qualifications Education: • bachelor’s degree
Experience: • 5 to 7 years of relevant experience
Skills: • exceptional verbal and written communication skills – the ability to communicate professionally with individuals who work at all levels • proficient in Word and Excel • proactive and able to complete projects accurately, efficiently, and with high levels of autonomy • excellent organisational skills with the ability to effectively handle multiple files at once • detail oriented – able to proofread highly detailed documents and make appropriate recommendations for revisions or actions • excels working as part of a larger team of internal and external stakeholders
