Rutgers, The State University of New Jersey, is seeking an Administrative Coordinator for The Division of Institutional Planning & Operations (IP&O). Reporting to the Executive Director, this position coordinates and oversees the daily operations of the Project Services Office including the administration of and compliance with university and State of NJ rules and regulations regarding the administration of construction projects.
Among the key duties of this position are the following:
Prioritizes and oversees work, provides routine and non-routine information to internal and external stakeholders and resolves issues and conflicts.
Develops, prepares and implements administrative manuals, guidelines and procedures and ensures departmental staff and contactor's compliance.
Prepares, processes and controls records, statistics, projections, reports and documents.
Completes work with a broad understanding of the administration of construction projects as well as university and State of NJ rules and regulations pertaining to the administration of the same.
Manages and ensures completeness of records for insurance and warranty purposes and responds to audit and OPRA requests.
Manages the computerized document management system (Buzzsaw) where construction and other project documents are stored.
Minimum Education and Experience:
Requires a bachelor's degree in Business, Construction or a related field or an equivalent combination of education and/or experience.
Minimum of two years of relevant professional experience that includes the administration of and compliance with the administrative and budgetary aspects of construction projects.
Required Knowledge, Skills, and Abilities:
Must possess excellent organizational, written and oral communication skills and an in depth knowledge of Microsoft Office.
Five years of relevant professional experience that includes the administration of and compliance with the administrative and budgetary aspects of construction projects.
Administration experience in a construction environment in higher education preferred.
Knowledge of Cornerstone and Buzzsaw or comparable construction document management system highly preferred.
Manages the Buzzsaw online project document management system.
Administers AIM, RIAS, Kronos and the Absence reporting system.
