Role/Summary/Purpose: Provide general administrative and office support to all departments under the Controller’s Office umbrella, to include, but not limited to: mail distribution, ordering departmental supplies, calendaring for the Controller and Assistant Controller, setting up meetings, travel arrangements, preparing expense and mileage reimbursement requests, create requisitions, copier maintenance (including monthly meter readings), space system management/maintenance and tech equipment custodian.
Essential Duties and Responsibilities:
General administrative and office support including: Mail distribution, office supply ordering, staff travel arrangements and conference registrations, processing of travel and mileage reimbursements, provide support for personnel searches including: coordination of search committee members time and necessary materials and assist with other hiring logistics; assist with events (meetings, training) and related logistics including room reservations, equipment reservations and set-up, ordering refreshments, and coordinating registration as needed; print & mail invoices, statements and other vendor correspondence; create requisitions; manage and maintain CO space (i.e. moves) and space system; tech custodian; maintain copy equipment, including monthly meter readings; maintain Controller’s and Assistant Controller’s calendars, as well as plan and prioritize meetings, serve as a point of contact on behalf of the Controller’s Office for internal and external inquiries, assistance with correspondence as required; develop processes for organizing, coordinating and tracking various regular and ad hoc assignments.
Pay range: $15.70 - $26.41 hourly
• Minimum four years of office work experience and/or education/training beyond high school. • Demonstrated intermediate Microsoft Word, Excel, PowerPoint, Adobe Acrobat; Access skills • Demonstrated proficiency with enterprise data collection and analysis tools, such as Qualtrics • Demonstrated proficiency with electronic calendar management (Google Calendar preferred) • Experience using an enterprise financial system such as PeopleSoft (preferred)
Preferred Qualifications: • Excellent written and oral communication skills. • Strong organizational skills; ability to manage multiple responsibilities at one time; support multiple departments. • Aptitude to learn new software independently • Ability to take initiative/work independently, with good judgment about seeking direction. • Must be able to deliver excellent customer service • Ability to tactfully handle confident or sensitive information in a reliable, professional manner. • A high level of consistency, reliability and accuracy in the execution of duties and responsibilities. • Excellent time management skills
