The Assistant Property Manager supervises, coordinates and provides administration of all general building and contract services and building maintenance services of a non-technical nature. The ideal candidate will take a lead role implementing marketing and design solutions that meet the strategies of both the Colliers Retail Team as well as the client. The candidate will have a track record of managing multichannel marketing campaigns including social media, print and digital along with special events. In the absence of the Property Manager, responsible for making all decisions necessary to operate and manage the property.
SPECIFIC FUNCTIONS AND RESPONSIBILITIES:
Negotiate, administer, and evaluate service contracts in the following areas: janitorial, security, window washing, trash removal, recycling, pest control, exterior landscape maintenance, sign and directory maintenance, general painting and maintenance.
Monitor vendor performance and billing to ensure compliance with contracts and operating budget, and Certificate of Insurance compliance.
Generate ideas for social media marketing campaigns and special events.
Utilize Twitter, Facebook, Instagram accounts for property to announce availabilities, newcomers, tenant deals and special events, etc.
Coordinate building life safety and emergency programs.
Assist with preparation, monitoring, and control of annual operating and capital budgets.
Participate in monthly property and financial review, including preparation of monthly owner reports.
Assist in preparation of accurate lease abstracts of new tenant leases.
Codes invoices for payment and processing.
Assist with collection of rent, payment of expenses, and compliance with lease terms.
Perform regular property inspections utilizing appropriate forms and checklists.
Coordinate tenant move-in, move-outs, construction, and projects.
Interface with clients with regard to special requests, operational issues or any other customer service needs.
Establish and maintain strong and positive relationships with client, property tenants, vendors, and contractors.
Monitor and track work orders and other service requests in work order systems such as Building Engines.
Coordinate special events.
Promote and maintain a safe environment.
Perform other duties as assigned
REQUIRED SKILLS, EDUCATION AND EXPERIENCE
Bachelor’s Degree or equivalent experience required.
Familiarity with real estate software such as Yardi, MRI, etc.
Strong writing skills and familiarity with social media.
Familiarity with contract and leasing agreements preferred.
Independent, self-starter, team player, attention to detail.
Provides high degree of professional customer service to both internal and external parties.
Excellent communication and organization, follow-through and follow-up.
Ability to meet commitments and deadlines.
Ability to work well under pressure with strong personalities.
Strong experience in Microsoft Office Suite.
