University Facilities Operations Manager will ensure that quality services are rendered by all departments of University Facilities. The day-to-day functions follow the strategies of the Chief Officer in advancing the goals of the organization. Manages and coordinates the integrated operational infrastructure of University Facilities. Participates in the development of, and oversees implementation and administration of, University Facilities policies, systems, and procedures. Prepares financial and/or operational analyses and reports, and audits current procedures to monitor and improve efficiency of operations. Manages/Supervises the day-to-day activities of one or more department functions as appropriate,
35% - Essential - Customer Service: Oversees the daily operations of University Facilities; receives calls and inquiries from customers seeking a wide range of Facilities' services. Directs them to the appropriate area that can provide the work (Dispatch, Project Request Form, Campus Planning, etc.). Assists customers in correctly completing and submitting required forms, and other associated paperwork. Works with all Facilities departments to ensure timely and accurate information appears on the website, and that we are in compliance with university, local, state, and federal policies and regulations. Coordinates with Facilities Information Technology to make the customer experience as intuitive and friendly as possible.
35% - Essential - Quality Management: Serves as Quality Control Agent for University Facilities; addresses customer concerns related to quality and timeliness of work, professionalism of Facilities staff, and job costing. Provides information to appropriate departments, and performs follow up with customers and Facilities staff to ensure resolution. Establishes and administers quality-assurance procedures for work performed by all areas of University Facilities. Inspects materials used in maintenance repairs, renovations, and small construction, and provide input to the Maintenance Stores on material quality.
20% - Essential - Work Order Assessment: Randomly selects and investigates with appropriate customers the quality, timeliness, and cost of work completed from each area of Facilities. Performs periodic building walk-throughs with Building Security Coordinator and Area staff. Directs work orders and other follow up to address any identified issues. Obtains customer feedback and share information with appropriate manager, and use this information to direct needed training efforts. Investigates aged work orders to determine if problems exist that requires follow-up, or if work order closeout has been neglected. Manages the Facilities Dispatch Center.
10% - Essential - Customer Service Training: Provides in house training to all areas on improving communication and interaction with our customers. This will include training classes, development of communication procedures, and written articles and reminders. Provides periodic training to the Building Security Coordinators on current Facilities procedures, and provide updates as changes occur. Directs other skills based training as identified through observation of deficiencies. .
An associate degree with experience in computer operations or a related data processing field. Related experience may be substituted for the required associate's degree on a year-for-year basis.
