Project Manager, Operations California College of the Arts
The Project Manager, Operations provides project management for the Operations Division. The incumbent manages project activities in support of operational, strategic, and campus planning objectives. They coordinate within the Operations division (Facilities, Operations, Shops, Public Safety), and with other divisions such as Educational Technology Services, Academic Affairs, Student Affairs, Campus Planning and other staff departments to ensure the consistent delivery of projects to build and maintain a high quality working, teaching, learning, and housing environment in College facilities. This position will have a primary focus on the projects entailing integration of campus unification initiatives into the college's operational function.
Leadership & Administration - 30%
Provides operational oversight of the Project Management function of the Operations Division. Works with the AVP Operations to continually assesses department operations for opportunities for continued professionalization and process improvement.
In coordination with ETS PM team, provides leadership across the Operations Division to build and maintain a professional, consistent, client centered Project Management function.
Works with Directors within the division to establish baseline objectives to ensure consistent, high quality projects.
Contributes to the development of and administers project budgets for assigned projects. Administers procurement and contracting processes in coordination with Operations management team.
Assists the AVP Operations with development and execution of project plans, and applies sound project management processes and methods to effectively and efficiently manage multi-faceted and complex college projects.
Contributes to Division objectives and campus planning initiatives.
Project & Construction Management - 70%
Manages and Coordinates activities of designated strategic, campus planning, capital renewal, and preventative and deferred maintenance projects. Creates and executes project plans and manages all day-to-day operational aspects of a project and scope.
In coordination with Directors, provides leadership and builds project management capacity within the Operations Division.
As assigned, leads small to medium-sized projects and provides support to AVP Operations on large projects.
Collaborates with project teams to define project scope, schedule, and budget.
Move projects from an idea to execution through the four phases of project management: planning, build-up, implementation, and closeout. Serve as principal point of contact for project team members, stakeholders, and external partners. Define, assign, and track project-related tasks for individuals and track deliverables.
Drafts contract, RFP and RFQ documentation and reviews contractor proposals and submittals.
Establishes work plan and manages contractors, sub-contractors, and internal resources.
Manages project communications, defines deliverables, prepares project updates, and drafts status reports for stakeholders and ensures project teams are regularly updated on project status and changes to project scope are communicated to all stakeholders as necessary from students to senior leadership.
Works with and leads cross-functional teams to achieve project objectives on schedule and on budget, including professional services and contractors.
Coordinates the review of mechanical, electrical, plumbing, life safety, security, technology, and data contractor work in reference to project planning and specifications.
Performs additional duties as required.
The position does not have employee supervisory responsibilities.
