As the Tenant Improvement Project Manager, you are responsible for the successful completion of all aspects of TI projects including client relations, quality, timeliness, and profitability. This position is a critical member of our organization as you will facilitate our work and represent to clients and the construction community our incredibly high quality standards. Own and manage all aspects of projects including schedules, budgets, subcontract administration, profitability, TBG procedures, etc. through project completion.
Attain a thorough and complete understanding of the Project Prime Contract especially all business terms such as start and finish dates, billing requirements and deadlines, change order processes and liquidated damages.
Have a thorough understanding of the project scope. Know the drawings and specifications. Proactively identify unique and challenging design elements, design deficiencies, schedule concerns, and other project-specific issues and develop an effective execution plan to manage these elements.
Know the Master Subcontract Agreement terms and conditions and how to administer them to enforce expectations and for use in the event of conflict resolution with subcontractors.
Work with estimating and the Superintendent to develop accurate and inclusive subcontractor/supplier scope sheets. Ensure timely issuance of subcontracts and purchase orders accounting for all applicable lead times.
Know what permits will be required, who will be responsible for acquiring them and ensure that they are in place and effective to meet the construction schedule.
At the project onset, develop a billing schedule with the Client that includes pencil and formal review periods and anticipated pay dates. Develop and review with the Client a cash flow schedule that forecasts billing amounts.
Review monthly pencil copy of owner pay application package drafted by Project Accountant based on costs incurred to date, and/or work in place.
Resolve all subcontractor and trade partner invoices with billing expectations with the Project Accountant.
Review weekly Accounts Receivable report provided by Project Accountant, assist with collections where necessary and keep Executive Team updated with status.
Work with Project Team to identify and track all project costs. Review and manage Committed Cost Report regularly including project cost projections.
Account for sales tax appropriately, taking into consideration new, remodel, and exempt projects.
Ensure all technical submittals are submitted timely to support the construction schedule.
Ensure all RFIs (Requests for Information) are submitted and responded to timely to support the construction schedule.
Assist Superintendent in requests for submittal information, subcontractor information, RFI creation and document control related project needs.
Attend all project meetings, update meeting minutes, and prepare all materials for meetings.
Facilitate communication between design team, Client, construction managers, property managers, internal team members and subcontractors.
Maintain, organize and distribute project plan revisions and/or addendums to suppliers, subcontractors, and internal team members. Review responses for potential cost affecting changes in scope and manage through the change management process.
Track labor hours of all personnel on site as required by Client.
Develop and submit project status report on a monthly basis that includes detailed cost projections, schedule status, change order status, submittal and RFI status, potential exposures and recovery plans as necessary.
Keep the Director of Project Management informed of all project exposures as they develop. This includes any potential or real cost or schedule overruns, subcontractor performance issues, strained Client relations and safety concerns or violations.
Lead regularly scheduled OAC meetings and record meeting minutes. OAC meeting agenda shall at a minimum contain status of safety, construction progress, schedule updates, submittals, RFIs and potential change orders.
Review construction schedule with Project Team on a weekly basis, ensuring the critical path is being maintained. Make updates as required and notify all applicable stakeholders as needed.
Attend all critical subcontractor meetings and work with Superintendent to coordinate trades and alleviate/prevent subcontractor conflict.
Ensure adherence to weekly and monthly reporting deliverables as defined by management.
Oversee the entire change management process for Clients and subcontractors. This includes distribution of change documents to affected subcontract trades, confirmation of change in scope and pricing, timely submission and review with Client and follow through with subsequent owner and subcontractor change orders.
Manage project through comprehensive completion including punch walk, final payment, and close out document delivery.
Attend punch walks for all projects, generate itemized list, and distribute to subcontractors and team members with noted deadline of completion.
Complete job site analysis safety reports and send to Director of Safety and on a monthly basis or as required.
Maintain current safety document hard copies on site for all subcontractors as required by The Burt Group safety policy and per the Prime Contract.
Report all accidents to Director of Safety and Project Executive immediately.
Other duties as assigned.
The Knowledge and Skills Needed From You
5+ years’ experience in a Project Manager capacity working on commercial construction projects totaling $5MM or more.
Experience working within occupied buildings.
Demonstrated knowledge of and experience with managing ground up construction projects within the healthcare, commercial, or retail environments.
Proven ability to build quality relationships with Clients, Architects, Engineers, Sub-Contractors, employees and our community.
Solid track record of closing out jobs on time and on budget with the highest quality.
Strong communication skills with a respectful, positive, and personable style.
Resourceful and thorough problem solving skills.
Strong computer skills with Microsoft Office, Microsoft Project, and Master Builder.
