The Financial Coordinator will provide specialized financial support and account management for Planning, Design & Construction projects. Support project managers and planners with financial analysis, prepare and distribute financial reports, provide customer service and administrative support as needed to the Planning, Design & Construction offices. Support project managers and planners with financial analysis as required. Direct internal audits involving review of project accounting and administrative controls. Maintain monthly review and reconciliation of all project accounts in the Universityâ™s financial system with the project management information system. Identify and communicate all anomalies to project managers. Prepare and distribute financial reports on the status of project accounts and any related departmental accounts. Communicate necessary actions required by Project Managers to maintain budgets and accurate accounting of their projects. Prepare purchase order requisitions and change orders for project managers and planners and advise of proper cost coding. Ensure support documentation received is in compliance with requisition requirements. Act as customer service contact for financial issues for the Planning, Design & Construction office. Track and troubleshoot invoice, payment, and accounting issues. Communicate with representatives in other Brown financial departments including Purchasing, Accounts Payable, Controllers Office, Office of Special Projects, and other Facilities Management and University departments regarding accounts. Recommend and implement actions and procedures to ensure prompt payments, account adjustments, and accurate accounting of financial activity. Act as a liaison with external vendors as needed. Provide specialized administrative support as needed to the Planning, Design & Construction office. Maintain sufficient cross training in other administrative aspects of daily activities within the office to provide administrative support when needed. Provide assistance to Planners, Project Managers, Assistant Project Managers, Construction Managers, Directors, and senior management as needed. Assist with project closeouts.
Requires a Bachelor's Degree and 3 years related experience, or the equivalent combination of education and experience.
Familiarity with University Financial System of record highly preferred. Proficient in basic accounting concepts.
Sound knowledge of spreadsheet and database software. Ability to make administrative/procedural decisions and judgments.
Ability to perform complex tasks and to prioritize multiple projects.
Skill in the use of personal computers and related software applications.
Ability to use independent judgment and to manage and impart information to a range of clientele.
Strong interpersonal and communication skills and ability to establish effective business relationships with internal and external clients and vendors. Strong service orientation.
Excellent time management and organizational skills in a multiple priority environment. Solid judgment. Good problem solving skills. Approachable/Cooperative.
