We are seeking applicants for an Administrative Specialist in the Engineering & Operations department. This person will be part of a team to provide oversight of the electric power generation fleet as well as execute electric transmission and substation projects required by Wabash Valley Power and the Member Systems.
What You'll Do
You will support the Engineering & Operations department with various administrative, document control, and contract management functions which include:
• Provide office, project, and administrative support including preparation of correspondence, reports, meeting minutes, and slide presentations, ordering of supplies, and department receptionist duties. • Provide document control support in accordance with document control procedures including copying and filing documents, receipt and distribution of incoming and outgoing documents, entering documents into the MIS (SharePoint, Prolog or other document control systems), and related duties. • Work with vendors to support the office. • Be responsible for turning over the final project archive documents to the Wabash Valley Power Records Manager and assist in the ongoing management of archive files. • Collect daily reports and log as needed. • Assist in processing incoming and outgoing project documents such as RFCs, RFIs, Submittals, Pay Requests, PCOs, COs, Safety Concerns, Non-Compliance Notices, and other construction management related documentation. • Assist in the processing of pay applications for accuracy prior to approval. • Assist in preparing Monthly Reports, and other special reports as requested.

Communications is a strength, including both written and verbal communication skills. You are detail oriented, thorough, well-organized and effectively manage time and deadlines.
• High school diploma or GED equivalent. • 5+ years of experience in an administrative support capacity including 3+ years of experience in engineering document control and records management systems. • Proficient in the use of Microsoft Office. • Experience in the use of Microsoft SharePoint or equivalent. • Have a valid driver's license • Must be currently authorized to work in the United States
