The National Robotics Engineering (NREC) develops and matures robotics technologies and solutions from concept to commercialization. Our rare expertise places us at the forefront of unmanned ground vehicle design, autonomy, sensing and perception, machine learning, machine vision, operator assistance, 3D mapping and position estimation. We also lead in educational outreach through its Robotics Academy, which builds robotics curricula and software for K-12 and college-level students.
NREC has 20+ years of experience developing and deploying robots into many applications across multiple sectors, such as agriculture, construction and humanitarian demining. We strive to provide solutions for real world challenges where automation and robots have outstanding impact on the productivity, safety and comfort of the labor force.
We are looking for an Administrative Coordinator to join us in NREC. In this role, you will be a part of a dynamic team and you will provide a broad range of administrative support for the management of the National Robotics Engineering Center (NREC). You will schedule meetings and events and you will coordinate with visitors in preparation for meetings. You will make travel itineraries, file expense reports, which includes food and beverage orders. In this position, you will collaborate with the Director of NREC, Director of Strategic Business Development, Senior Faculty and other administrative staff.
Your primary responsibilities will include:
Scheduling: Maintaining the daily calendars for NREC's management team which includes scheduling internal and external meetings as well as coordinating meetings with visitors, customers and managers of other groups at CMU
Travel Itineraries: Coordinating with NREC's travel agent to book flights and hotels according to the need for the trip and the preferences of the travelers. Filing expense report into CMU's Oracle system
Meeting Planning: Making meeting room reservations, ordering food (as needed), coordinating with technical staff to schedule demonstrations during tours of our facilities, coordinating with NREC operations to prepare special items for the visit (e.g. special tables for luncheons, dinner meetings, etc.)
Visitors: Ensuring high quality coordination with potential visitors to facilitate their arrival and stay in Pittsburgh as well as at NREC. This includes coordinating with their point of contact to find available dates/times for the meeting, providing recommendations for hotels and instructions for coming to NREC, preparing custom badges for large groups, updating the visitor calendar, informing NREC security prior to the visit, etc.
Communications: Collaborating with other members of the team at NREC and CMU to ensure all meetings and travel are properly booked and planned. This includes, NREC Director, Director of Strategic Business Development, project managers, principal investigators, other administrative staff, etc
Administration: Performing administrative tasks such as preparing letters, reviewing/editing text, tracking travel expense report progress, etc. Assisting the NREC recruiter in scheduling interviews with leadership and senior engineers. Providing support for NREC recruiting which includes data entry in NREC's resume/recruiting Access database
Other duties as assigned
High School degree or equivalent experience required
At least 3 years of Administrative experience required
Excellent verbal and written communication skills
Excellent organization and planning skills
Excellent problem solving skills and social skills required
Strong attention to detail required
Experience with Microsoft Word, Excel, Microsoft Office, Oracle, Workday, Access
Excellent problem-solving and reasoning skills
Excellent collaboration skills
Experience in a university or non-profit organization preferred
