The purpose of this position is to provide secretarial support to assigned Judges and their staff. These duties include typing legal documents and reports; maintaining appointment schedules; answering chamber phones; greeting visitors to chambers; and maintaining office supplies.
ESSENTIAL JOB FUNCTIONS:
Types and edits professional documents including civil and criminal orders and entries, various records, reports, correspondence, legal documents, etc.
Answers multi-line telephone for assigned Judges and staff; screens and refers callers; takes messages
Greets and provides general information to the public and attorneys
Maintains office supplies and equipment; coordinates repairs
Coordinates cases referred to the Magistrates
Provides back up support for absent secretaries
Opens, sorts, and distributes incoming and outgoing mail
Proofreads finished copies for staff attorneys
Maintains calendar for assigned staff; schedules appointments; notifies of any conflicts
Assists other staff as needed
Organizes, prepares, and maintains office files
Performs other related duties as delegated
High School Diploma and two (2) years’ legal secretary/assistant experience
Minimum of two (2) years’ experience involving court clerical work and personal computer operations (i.e., word processing, spreadsheet, e-mail and calendar system)
Proficiency in Microsoft Office applications
Strong oral and written communication skills
Associate’s degree or Vocational/Technical degree
