Responsible for handling front office reception and administration duties, including greeting guests, answering phones, handling company inquiries, and sorting and distributing mail. May also schedule meetings and travel for executives.
Be the "face" of the company for all visitors and will be responsible for the first impression we make.
Act as HQ facility supervisor and manage the Daily HQ facility duties as listed belowThe ideal candidate will have a friendly and easy going personality while also being very perceptive and disciplined. Be able to deal with complaints and give accurate information. A customer-oriented approach is essential. The goal is to make guests and visitors feel comfortable and valued while on our premises.
HQ Office reception:
Answer calls directed to main Sensia HQ switchboard and:
(if needed) reroute calls to specific people (we however encourage personnel to provide the direct line as primary).
Take and relay messages to relevant personnel
Direct phone inquiries about company to relevant Management.
Manage HQ Visitors:
Greet visitors on 14th floor and make sure they are comfortable.
Give visitors badges and direct them to where they can sign in.
Call persons waiting for visitor; if needed book them a room to meet in.
Schedule meetings and conference rooms.
Order lunches / food for meetings if required.
Ensure reception area is tidy. Keep front desk tidy and presentable with all necessary material (pens, forms, paper etc.)
Coordinate mail flow in and out of office, including DHL/UPS shipping and receiving. Collect and distribute parcels and other mail.
May schedule meetings and travel for executives - if required
Handle phone calls from people calling in sick.
Gather personal and insurance information.
Manages parking passes for Visitors - if required by Building administrators.
Take up other duties as assigned (travel arrangements, schedules etc.)
HQ Office facility administration:
Manage Sensia HQ staff facility maintenance requests (13th and 14th floors) and follow up on the open facilities service tickets (maintenance).
Maintain conference rooms and huddle rooms organized, supplied and operational all time (both floors). Ensure projection devices working at all times (video and sound)
Support and follow up suppliers during their task/service delivery and execution at HQ, in coordination with the service requester.
Coordinates with building administration the proper execution of tasks provided by building company (cleaning services, etc).
Coordinates minor HQ facility construction work (installation of new projectors, TV screens, boards and panels, repairs to existing systems such as Air conditioning components, furniture moves, etc.).
In charge of monitoring and replenishing office supplies (Stationary, first aid, coffee supplies)
Tracks and Monitors HQ office operating expenses and costs.
Coordinate the reception of goods into both floors (coffee, office supplies, large mail packages)
Inspection on the daily/weekly 13th and 14th building cleaning.
Program transferred or new employees badges
Keep the printers operational all time
Manage the access for the archive rooms.
Ensure HSE legal and company requirements (yearly drills organization, fire warden training)
Manage / update the HQ Houston facility web pages in OneSensia Intranet. Manage any email message (fire alarms notices, lift maintenance, etc.) for HQ employees - in collaboration with Communication Manager.
