Job Summary/Basic Function: GENERAL DESCRIPTION: Manage work order processing center to ensure the timely and accurate creation, dissemination and documentation of work orders and perform regular responsibilities as a Work Order specialist. Judgment and initiative are frequently exercised. Frequent verbal and written communication are required internally and externally. Often interprets and makes decisions based on administrative, programmatic and personnel policy. Position is essential to the effective response of Facilities Management to emergent issues and vital to the time, resource and cost accounting of work performed by Facilities Management.
EXAMPLES OF WORK PERFORMED:
Responsible for the maintenance and integrity of the work order system data. Program, (TMA Systems)
Ability to operate multiple software applications.
Monitor work orders from initiation to completion within various work order platforms.
Investigate, coordinate and resolve work order issues working directly with our customers, both internal and external to the department
Receive all requests for maintenance and repair work; dispatching work orders to appropriate personnel
Receive, verifies, and prioritizes work requests from campus contacts.
Manages the data in the work order control system, performs periodic updates of critical information.
Develop processes relative to the work order control system.
The specialist will be responsible for closing completed work orders in a timely fashion.
Answer a multi-line phone to take incoming customer service calls. Create work orders for service technicians
Communicate all questions, concerns and problems that cannot be corrected on site to the Director or AVP.
Prepare internal charge-backs and documents for events supported by Facilities Management.
Reviews, plans and schedules all recurring PM (preventive maintenance) activities.
Perform other duties as assigned, for the purpose of ensuring the efficient, effective functioning of the work unit.
Minimum Qualifications: GENERAL QUALIFICATION REQUIREMENTS:
Experience: 1. Demonstrate ability to work and communicate professionally, verbally, and in written form with internal and external customers. 2. Extensive use of computerized maintenance management systems Demonstrate customer service excellence. 3. Strong organizational skills with the ability to manage multiple tasks simultaneously. 4. Must be able to work in a team environment, anticipate needs and meet customer expectations.
Education/License: 1. Associates degree and/or 2 years of facilities management experience, or a combination of education and facilities management experience. 2. Possession of valid vehicle operators license.
Knowledge, Skill, and Abilities: 1. Skill in coordinating the work activities of self and others. 2. Must be organized and proficient with Microsoft Office Suite and have the ability to use basic computer programs. 3. Specialized knowledge to analyze and solve complex problems. 4. Ability to write routine reports and correspondence. 5. Work independently without regular direct supervision. 6. Ability to establish and maintain good working relationships with fellow employees, faculty, staff, and students. 7. Ability to effectively present information to an internal group. 8. Must comply with the established University, and departmental rules and regulations.
PHYSICAL REQUIREMENTS: Must have physical ability to perform physical work in a normal grounds operation environment and tolerate inclement working conditions such as working in heat of summer, cold of winter, and rainy weather.

Sense of Touch: Must be able to sense heat, cold, or sharp objects.

Vision: Must be able to drive a vehicle, recognize colors, and work in normal lighted areas.
MENTAL REQUIREMENTS: Mathematics: Must be able to count, add, subtract, multiply, and divide.
Remembering: Must be able to follow and recall complex instructions. Must be able to retain practices and procedures used in carrying out the duties of the job. Must be able to mentally recall the status of activities associated with several projects that are processed concurrently.
Language Ability: Reading: Must be able to comprehend written instructions.
Writing: Must be able to write or print legibly to construct simple and compound sentences that can be understood by those of reasonable intelligence.
Speaking: Must have the ability to verbally communicate effectively with logic.
Reasoning: Must be able to make decisions and know when to request advice for more complex problems.
