The Ambulatory Facilities Operations Supervisor is responsible for the coordination of maintenance and upkeep of physical space occupied by ColumbiaDoctors on the CUIMC campus. Reporting directly to the ColumbiaDoctors Assistant Director, Ambulatory Facilities Operations, the Facilities Operations Supervisor works closely with NYPH and CUIMC Facilities departments as a liaison to assure proper maintenance of all areas and timely progression of all ColumbiaDoctors facilities projects and identifies opportunities to improve physical plant and practice flow efficiencies resulting in enhanced patient and physician experiences.
Works with NYPH and CUIMC Facilities, Engineering, Housekeeping, and other departments as necessary to assure upkeep of all ColubiaDoctors practice and administrative space on the CUIMC campus.
Collaborates with other members of the Operations Management team to maintain an accurate accounting of all ColumbiaDoctors space, and assures appropriate moves, relocations, expansions, and downsizings.
Reports any changes in current state floor plans for all clinical practice space and clinical administrative space to the appropriate space management team for CUIMC and NYPH.
At the direction of Facilities Operations Manager, manages requests for the department- and ColumbiaDoctors-funded refurbishment projects
Works closely with Departmental Administrators, physician leadership, and ColumbiaDoctors Administration on all new CUIMC construction projects.
Ensures all projects are within the guidelines and standards set forth by ColumbiaDoctors, CUIMC, and NYPH.
Identifies project timelines, expenses, and budget for the project and assures project remains within budget parameters, and supervises projects to assure cost-effective use of funds.
Coordinates all contractors, vendors, and in-house teams to assure timely completion of project work.
Assists in standardizing furnishings and finishes.
Supports the ColumbiaDoctors Space & Facilities Committee as needed, which may include preparing the agenda, taking meeting minutes, presenting requests for approval, and giving updates on all approved projects.
Assists and advises Departmental Administrators in identifying opportunities to improve patient thru-put and workflows, and to maximize the optimal use of space.
Provides coverage supervision of ambulatory facilities office staff as needed.
Assists with recruitment, annual performance reviews for staff, payroll, and vacation tracking reports as needed.
Performs all other duties, special projects, and tasks as assigned.
Requires a bachelor's degree or equivalent in education and experience
Minimum of three years of related experience of which two years must be supervisory experience preferably in a hospital or physician practice setting
Must possess strong management and organizational skills and the ability to interact effectively with all levels of staff. Must have superior writing and communication skills; knowledge of spreadsheets; familiarity with computer programs, (excel, word, PowerPoint).
Must be organized, self-motivated, and have patience, tact, diplomacy, and superb communication and follow-up skills as well as be able to solve problems and plan independently. Ability to work as part of a team, with administrative, financial, facilities, and other administrative staff as required.
Must successfully complete systems training requirements
