Position Summary:

 The Property Manager is responsible for providing support to the Vice President of Real Estate and CEO to include lease administration, property maintenance, tenant relations, collections, property improvements, preparation of contracts, collection of certificates of insurance, and accounts payables.  The PM must possess strong understanding of commercial leases, organizational skills and be able to manage multiple priorities at one time. The PM is also responsible for assisting tenants with any questions/issues and providing follow through regarding their statement.

Major Responsibilities:

• Manage and oversee operations, maintenance, administration, and improvement of commercial, or industrial properties.
• Plan, schedule, and coordinate general maintenance, major repairs, and remodeling or construction projects for commercial properties.
• Direct collection of monthly assessments, rental fees, and deposits and payment of insurance premiums, mortgage, taxes, and incurred operating expenses.
• Act as liaisons between on-site managers or tenants and owners.
• Prepare detailed budgets and financial reports for properties, administer commercial lease documents, set-up new tenant files, organize mailing of Tenant statements.
• Maintain records of sales, rental or usage activity, special permits issued, maintenance and operating costs, or property availability.
• Solicit and analyze bids from contractors for repairs, renovations, and maintenance.
• Collect monthly A/R for rent and other collections and follow-up as necessary with letters for new and existing tenants such as Possession letters, Commencement Date Certification, Rent Commencement letters, etc.
• Monitor and review reconciliations for approval and ensure proper end of year mailing and follow-up on payments
• Manage processing of payables ensuring processed in a timely manner
• Prepare reports such as Rent Rolls, AR reports, Renewal Option reports, etc. and post as requested
• Track Real Estate due dates; ensure checks are processed and mailed by due dates. Follow-up to ensure payments were received and processed by the tax authorities
• Create and maintain Emergency Response Manuals for new and existing properties
• Maintenance of property information spreadsheets; including tenant contact, vendor Contract Tracking, Vendor COIs, and building contacts
• Update utility tracking reports
• Assist in coordinating tenant improvement and capital projects
• Assist with Acquisition and Disposition processes
• Prepare and process Vendor Agreements, oversee new vendor set up and ensure follow through,

create new vendor files and maintain as required by client

• Maintain Tenant Insurance tracking in Excel
• Maintain COIs and follow up on those that are not correct, lacking coverage and expiring
• Prepare incident reports and communicate with the insurance company when needed
• Other duties as assigned
