BB&N is seeking a full-time Facilities Manager. Primary responsibilities are to provide leadership, coordination and administrative oversight for facilities planning, maintenance and housekeeping for the efficient operation of the physical facilities at Buckingham Browne & Nichols School.   

BB&N is comprised of 300,000 square feet on approximately 15 acres. The budget for the Physical Plant is $2.1 million, with annual capital projects and special maintenance of $1,000,000. Operations of the physical facilities include a wide array of services including maintenance, environmental compliance, preventative maintenance, repairs renewal and replacement, provisions of utilities and energy management, grounds keeping, custodial, fire and life safety, waste disposal and recycling, facility vendor management and logistical support for campus events.

The Facilities Manager will work on the BB&N campus and is responsible for:

  • manage all maintenance, custodial, and grounds activities on the campus;
  • provide a high level of customer service to all employees, students, parents, visitors, and friends of the School;
  • ensure the successful execution of preventative care, repair, emergency response and capital projects;
  • maintain a comprehensive inventory of parts, supplies, tools, and attic stock of finishes and furniture;
  • perform administration of critical documents, including filing and retention of warranties, repair records, contracts, inspection reports, certifications, MSDS sheets, OSHA-required documents, and other compliance reports;
  • directly oversee development of specifications, review of bids, management of contracts, and ensure performance of contractors;
  • assist with facility-related operating and capital budget preparation, budget tracking, and financial forecasting and reporting;
  • identify and implement efficiency and effectiveness programs within facilities in order to manage costs appropriately;
  • coordinate periodic compliance (including health and safety) inspections;
  • maintain and enhance the school’s computerized maintenance management system;
  • manage all space planning activities, procurement and installation;
  • assure that all projects and all operations within the department comply with established policies/procedures, industry best practices, and governmental regulations;
  • establish a qualified contractor base for projects and contractual support within BB&N facilities;
  • work with Safety & Security to maintain a plan for fire evacuation and disaster response, snow removal, and other contingency planning;
  • conduct emergency drills as required, in collaboration with Safety & Security;
  • provide emergency facilities support as needed;
  • other facilities tasks and projects, as assigned, in order to meet the needs of the School.

The ideal candidate will have Bachelor’s degree or equivalent in facilities management, business or engineering, coupled with 5+ years’ experience supervising facilities construction, maintenance, or ongoing operations, including trades supervisory experience. Building manager certification preferred. Previous experience in an educational setting desired.

In addition, the candidate should demonstrate:

  • proven management skills in the area of personnel, time, cost, quality, facility and property management;
  • strong customer service orientation preferably in a non-profit, retail, educational or hospitality environment;
  • dedication to the goal of creating and maintaining an authentic, inclusive community;
  • interpersonal skills to work effectively with a diverse group of people, including students, parents, faculty, and staff;
  • Interest in working in a child-centered environment;
  • expertise in and an aptitude for administration, management, construction management, mechanical equipment, landscaping, technology applications (FMIS), purchasing, supervision, security and safety and general services;
  • knowledge of building codes and regulatory environment for facilities management;
  • good organizational, verbal and written communication skills;
  • computer literacy with excellent Word, Excel, and database skills;
  • comfortable with learning new software;
  • must be available to be on campus on short notice, for emergencies and other unforeseen facility needs;
  • event management experience;
  • ability to work independently and as a team member.
