This is a high-level assistant position, serving as assistant to the Associate Deans of the School of Law and the Director of the Paralegal Institute, and supporting the operations of the School of Law and the Institute. This position consists of highly-skilled work requiring the exercise of initiative and independent judgment in completing tasks. This individual shall demonstrate organizational skills, accuracy, diplomacy, and good people skills. This individual should also have the ability to handle complex administrative tasks with proven ability to perform independently.
DUTIES AND RESPONSIBILITIES:
Assists in an administrative capacity involving the coordination of various functions and responsibilities. In this capacity, the individual will perform all the duties commensurate with that position, including: exercising tact, discretion, and confidentiality in the processing of sensitive material; managing calendars and email, receive incoming phone calls and mail; make outgoing calls, as necessary; plan meetings, travel, related events, maintain and reconcile P-card transactions, and other commitments for the Associate Deans.
Prepares correspondence, memoranda, complex spreadsheets and reports, including checking for completeness and accuracy; maintain complex records and data. Prepare ABA reaccreditation/interim reports which includes job placement tracking.
Assists with the coordination of school events and assist with special projects. Register all Paralegal students and prepare term schedules, forms, booklists, student schedules, students relations, etc. Collect and maintain student records for the Paralegal Institute, such as applications, class registration, registration data. Plan, prepare Open Houses and New Student Orientation sessions. Answer and track inquiries for information regarding program, follow up with additional information and announcements.
Assists with compilation of teaching materials and scholarly work. Communicate with students and faculty regarding various issues.
Attends meetings as assigned; prepare agendas/minutes, track action items. Works closely with numerous departments with the university such as Student Accounts, Registrar, Law School, etc. Coordinates graduation in the School of Law and Paralegal Institute.
Maintains working order of office equipment; order office supplies.
Supervises student workers.
Performs other related job duties as assigned by the Associate Deans.
Associate Degree from an accredited institution.
Requires 3-5 years of administrative, executive secretarial, or any equivalent combination of experience and training that provides the knowledge, skills, and abilities required to perform essential job functions. This includes but limited to the following:
Considerable knowledge of administrative management principles, concepts, and techniques and their practical application;
Fluency in the Microsoft Office suite;
Ability to maintain confidentiality;
Stellar grammar and punctuation;
Ability to exercise professional discretion in information management, both internally and externally; professional image, demeanor, and business etiquette;
Excellent time management, the ability to manage time effectively, and to prioritize tasks in a continually changing environment;
Ability to engage with co-workers in a constructive manner;
Ability to interact professionally and appropriately with the individuals in various roles within the department, including faculty, staff, and students;
Ability to establish and maintain effective working relationships with the University officials, executives, and administrators, and faculty.
