The administrative assistant I will work under the direction of the administrative assistant II and serve as the primary person to answer the multi-line phone for the System Office and direct callers appropriately.
This position is responsible for excellent customer service for inbound phone calls, lobby guests, internal staff and external constituents who utilize the conference center services. This person must be knowledgeable about the System Office and College functions to appropriately refer guests by phone or in person. This position is also responsible to for performing duties in accordance with System Office practices, procedures, and policies. This position will assist the administrative assistant II position with receiving, monitoring, and scheduling conference center and fleet vehicle bookings and provide conference center meeting needs. This position will also assist in requested room arrangements by handling the physical set up of tables, chairs, air walls, podiums, and other meeting needs. This position is also responsible for promoting and protecting the KCTCS brand to System Office visitors. Must be adept in the Microsoft Suite of software as well as other scheduling software.
This open position is located in Versailles, Kentucky.
Answers the phone lines coming into the System Office and directs callers in a friendly manner. Greets guests to the System Office and assists with approximately meeting their needs.
Provides excellent customer service to KCTCS guests (either in person or by phone).
Assists in scheduling company fleet vehicles, documents maintenance, keeps records, car keys and debit cards.
Assists in constructing weekly room setups.
Provides conference center meeting needs included, but not limited to arranging tables and chairs, setting up technology, guest presentations, and catering.
Assists in receiving, booking, and monitoring schedule of meeting rooms.
Other duties as assigned.
High School Diploma or GED and one (1) year of position related experience.
Associate's Degree in Business Management, Hospitality or related field and three (3) year of position-related experience, or equivalent.
KY law requires state and national pre-employment background checks as a condition of employment. Initial review of applicants will begin on May 31, 2021.
