The Conference and Meeting Services Coordinator is an events professional with responsibilities that include reserving and coordinating the use of campus facilities and resources for meetings requested by USJ departments and external groups.
Responsibilities (Include but are not limited to)
Coordinate conference and event services to centralize support for USJ faculty and staff; and promote, coordinate, and produce events for external groups to generate revenue.
Lead point of contact to request resources from Facilities, IT, Sodexo, Campus Ministry and other support services to ensure all plans are implemented for the event in the planning stage, prior to the start of the event, and reviewed during a post-event debriefing of results with involved individuals.
Collaborate with other university event managers to coordinate overall usage of the campus and connects meeting organizers with the Office of Marketing and Public Affairs for publicizing the event as appropriate.
The person in this role is physically active and a presence across campus overseeing the usage of USJ facilities with USJ hospitality and using customer service best practices for successful meetings and events.
Input all event information into USJ system for booking of rooms, Facilities requests, and maintaining website and MyUSJ content to keep internal and external audiences aware of conference and meeting services options.
Communicate policies and procedures to all patrons of the Office of Conference and Meeting Services; Ensure that all policies and procedures are adhered to and according to USJ guidelines.
Provide administrative support to the IA Office.
Support IA events including Reunion, Gala and Chapel Bells, Blue & Gold.
Schedule and supervise USJ student workers/interns to support goals of the Office.
Work with individuals to determine which space meets their needs for an event.
Work with staff, determine opportunities to engage various departments to promote the University.
High School Diploma or equivalent required; bachelor's degree preferred
3-5 years of related job experience strongly preferred
Must be willing to work flex hours to accommodate evening and weekend events
Proven record of successful meeting and event planning, coordination, and production involving internal and external resources
Supervisory experience a plus
Good writing and editorial skills; ability to write and present powerfully and professionally and to communicate comfortably with students, colleagues, and external constituents
Possess solid general computer skills, familiarity with other specific applications (AdAstra) used by the University/Department a plus. Familiarity using meeting planning software
Ability to maintain cooperative, constructive working relationships with others inside and outside of the University
Ability to work independently while operating effectively and collegially within a team environment
Strong interpersonal, communication, and organizational skills and attention to detail
Flexible approach to working with peers and able to multi-task
Professional, courteous demeanor and appearance; ability to work professionally with students, faculty, staff, and administration and to represent the University professionally to the public
Must have a valid driver's license
Cultural competency to work with diverse student and/or employee population

The anticipated salary range for this position is $46,000 to $52,000. The final offer will be based on the successful candidate's qualifications and experience.
