Job Description:
The Associate Director has primary responsibility for leading all activities in the School of Professional Studies related to the management of admissions systems and the processing of applications for ~20 masterâ™s programs across campus. The Associate Director is the primary developer, implementer and administrator of the CRM and its integration with other university systems.
Working closely with the Director of Enrollment Management and the Dean, this individual is responsible for the functional and technical management of the Schoolâ™s CRM (Slate) and interface with the Universityâ™s student information systems (Banner). The Associate Director is the Slate team captain (lead) for the School, providing project management for new implementations and improvements and will work collaboratively with Brown departments including Office of Information Technology, Financial Aid, the Registrar, the Graduate School, and Brownâ™s academic Schools and Departments to support masterâ™s enrollment functions. The person in this role will represent SPS in campus-wide meetings and regional and national conferences related to technology. The Associate Director serves as the primary technical contact with Technolutions.
The Associate Director is responsible for analyzing the needs of admission processes and implementing innovative ways to meet those objectives. This individual manages the Admissions Specialists.
1. Major Responsibility: 45%
Develop admission processes in Slate.
⢠Develop operational efficiencies in Slate to support recruitment and admission functions
⢠Create and troubleshoot forms, fields, portals and widgets to support recruitment/selection/matriculation processes in Slate and Slate reader
â¢Create standard for data audits to ensure accuracy and operational excellence
⢠Build and maintain custom portals
⢠Direct technical aspects and tools in the Slate Reader
⢠Schedule and manage user testing
⢠Field new requests from Slate users
⢠In consultation with the Director of Enrollment Management, develop improvements to current processes in Slate, Banner, Axiom, BDM and Cognos
⢠Work with all staff using Slate to prioritize projects and enhance the effectiveness of admission activities, including communications, travel and events
⢠Release admission decision notifications in Slate
⢠Cycle Prep, including annual updates to program-specific applications, including leading testing, implementation for all applications including Public Health application integration with SOPHAS
⢠Serve as a Slate Captain, including being a liaison with Technolutions to implement upgrades
⢠Liaison to Brown departments regarding Banner integration of data (CIS, Banner General, Registrar) ⢠Guide admission operations team
⢠Create reports and processes involving custom SQL, html and other web and statistical technologies as needed to support admission cycle
⢠Complete internal testing of new technologies; lead and participate in user acceptance testing efforts
⢠Submit support tickets to Technolutions and CIS
2. Major Responsibility: 20%
Personnel Management
â¢Hires and supervises Admissions Specialists
⢠Ensure team has work prioritized appropriately and the IT resources needed to be effective
⢠Provide leadership, mentorship, training and constructive feedback
⢠Manage performance including annual review process and goal setting

Reports, queries and data analysis
⢠Create reporting standards within Slate
⢠Develop reports within Slate
⢠Create data visualizations using Slate, marketing data, and institutional data to inform strategic recruitment and enrollment initatives
⢠Monitor accuracy of all reporting, including Deliver campaigns and emails
⢠Serve as technical resource for SPS partners for retrieving admission data, including creating reports within Slate
4. Major Responsibility: 15 %
Slate and Banner Training and Documentation
⢠Create and update technical training documents and end user guides
⢠Develop and help to provide trainings for all admission staff and other university users

⢠Determine design and update schedule of data reports in Slate to inform department and programs of application and enrollment funnel.
⢠Regularly review and improve application processing and decision release procedures.
⢠Determine maintenance procedures within Slate to accommodate required application or prospect information.
Dimensions
⢠Maintain Technolutions Slate CRM for 5000+ applications across 20+ degree programs
⢠Create and maintain appropriate data reports for 20+ degree programs
⢠Ensure accurate transfer of 2000+ enrolled student records from Technolutions Slate to Ellucian Banner
Job Qualifications
Education
⢠Bachelorâ™s degree required
Required Experience
⢠Five or more years managing daily systems operations, preferably in college admission environment ⢠Experience in project management
⢠Experience with business analysis and system implementation
⢠Experience with Ellucian Banner and Technolutions Slate, or other student information or customer relationship management system
⢠Experience managing and supporting database systems
⢠Demonstrated experience using SQL, Excel and other databases/statistical software used for information retrieval technology
⢠Demonstrated ability to work with large data sources, data manipulation, and business process development
Preferred Experience
⢠Experience managing staff preferred
⢠Experience developing and providing training to diverse population of user
⢠Experience translating data and business process needs between end users and technical staff
⢠Experience with Tableau, R, or other data visualization software or programming language
