RESPONSIBILITIES: Specific responsibilities will include, but are not limited to, the following:
Provide operational and financial management of properties
Provide management services for building(s)
Work with accounting team to prepare monthly financial reporting package(s)
Provide regular reports on a timely basis regarding the status of properties, including information such as operational and leasing issues and capital projects
Prepare annual budget(s) in detail, maintain cost controls, monitor financial reports, and explain budget variances
Maintain all property records for fiduciary and reporting purposes
Purchase supplies, materials, and equipment for use on or at the properties
Ensure the timely processing and payment of property invoices, avoiding late fees
Establish and maintain tenant relations through regular inspections, enforce property rules, resolve issues diplomatically and organize special events and services
Interpret and administer the terms of the leases with tenants.
Arrange for alterations to maintenance, upkeep or reconditioning of the property
Establish and implement preventive maintenance programs
Manage the property’s physical operations through property inspections, preventive, and general maintenance
Oversee construction projects, build outs, and code compliance
Administer warranties and ensure compliance with government-mandated regulations
Actively participate in and/or lead the procurement and negotiation of new contracts to reduce operating expenses, seek optimal costs to improve service and delivery times
Manage contracted services of security, maintenance, janitorial, HVAC, grounds, and other services
Organize and oversee the schedules and work of administrative and maintenance staff
Regularly review and document the performance of employees and contractors
Review and monitor all service requests to ensure prompt and accurate processing of work orders
Be able to effectively work with tenants and contractors as well as with State and local officials
Directly supervise on-site and remote property personnel and oversee activities of contract personnel
Act like an owner
Prepare emergency response programs and be prepared to respond effectively to all emergencies
Be available to respond to emergencies on a 24/7 basis
Respond in a timely manner to client and management requests
QUALIFICATIONS:
Minimum Education: Bachelor’s degree
Preferred: RPA (Real Property Administrator) or CPM (Certified Property Manager)
5-7 years of property management or related experience
Excellent verbal and written communication skills
Proficient in Microsoft Office Suite and Yardi
Highly detailed with attention to detail and follow through
Ability to work independently with minimal supervision
Results-oriented, attention to setting goals and getting things done, not just delegating to others
Ability to juggle multiple tasks; be a self-starter and maintain composure in a fast-paced work environment
Earn the respect and confidence of the office team and outside parties.
Possess superb people skills and a strong work ethic
Possess strong interpersonal skills
Ability to read, analyze and interpret professional journals, technical procedures, building/architectural plans, and governmental regulations
Extremely service-oriented with the ability to interact with all levels of individuals and groups, both orally and in writing
Ability to effectively present information and respond to questions from groups of managers, clients, tenants, and the general public
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, and area
Ability to solve practical problems and deal with a variety of variables
Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form
Strong planning and organizing skills and a basic understanding of accounting
Proven negotiation skills
Ability to analyze and understand lease agreements
Ability to work Monday through Friday 8 am to 5 pm and be available 24/7 for building emergencies
Know how to delegate when necessary but still remain responsible for the task
