Job Summary:
The Associate Athletic Director of Events and Facilities Management reports to the DeputyAD for Operations and Capital Projects. This position is a member of a leadership team for the Department of Athletics and Recreation and is responsible for overseeing the day-to-day operations, scheduling, and maintenance of assigned Athletics facilities. This position will also oversee game day operations and serve as the principle facility and game day manager for assigned events within NUDAR athletic facilities. This position will provide supervision and support for multiple full time employees as well as tempory staff and contractors. The primary responisility of this department is to ensure a safe and welcoming environment for all Northwestern students, staff and guests.

Responsible for adhering to all Department and University policies and procedures, as well as the rules, regulations, bylaws and interpretations of the Big Ten Conference and the NCAA.
Specific Responsibilities:
- Direct and manage full-time staff while serving as a member of senior staff.
- Oversees the hiring, on-boarding and evaluation process, specifically related to the events and facilities management unit for designated employees.
- Leads meetings with staff determining priorities, assigning projects and verifying completion.
- Coordinate and serve as a liaison with campus contractors and union laborers to ensure the goals and objective of NUDAR are being met.
- Provide leadership and direction to execute mission and vision for work unit.
- Ability to establish goals and priorities, set and meet deadlines, and manage day-to-day operations of Facilities & Operations unit.
- Work in conjunction with the NUDAR CFO to establish a budget and ensure fiscal responsibility within the unit.
- Responsible for the day-to-day operations, scheduling, and maintenance of assigned athletics facilities.
- Managing and maintaining facility scheduling software (25Live); Resolving conflicts with practice and competition schedules.
- Supervising weekly walkthroughs to identify maintenance needs ensuring facilities are safe and clean for all visitors.
- Submitting and tracking facility repair requests (work orders); Monitoring the quality of services provided.
- Coordinating building shutdown and other interruptions due to maintenance and facility projects to ensure the least impact on athletic facility activities; Communicating regularly with all impacted coaches and/or staff.
- Responsible for cleaning and organizing all Athletics facilities, as needed; May include completing small projects and minor repairs that do not require a license.
- Responsible for leading with facility management for events hosted in assigned Athletics venues.
- Ensures playing surfaces are prepared for practice, competitions, and other scheduled activities.
- Plans, organizes and coordinates set-up and breakdown of all assigned events.
- Leads facility-related day-of management for assigned events, and coordinates closely with other Facilities & Event Management personnel; Serves as “on-call” Facility and Game day Manager for assigned events.
- Responsible for reviewing, updating, and implementing (when applicable) emergency management protocol.
- Responsible for communication and coordinating with all constituents: officials, home and visiting teams, security, concessions, ticket operaions, marketing and guests.
- Manages small facility projects of less than $100,000 relating to facility upgrade and maintenance. Assists Deputy AD for Operations and Capital Projects Event in executing preventative maintenance an capitol project plans.
- Collaborates and acts as primary liaison with campus Facility Management trades personnel (i.e. lock shop, paint shop, etc.)
- Assist with the coordination of day-to-day activities related to capital projects including, but not limited to, attending meetings with designers and construction crews, communicating promptly with internal and external constituents of any daily impact, etc.
- Orders supplies and equipment and submits quotes and/or purchase orders through guidelines established by the Athletics Business
- Manages the FF&E life cycle program (replacement, restoration, and renovations).
- Responsible for coordinating and scheduling custodial services.

- Performs other duties as assigned.
Minimum Qualifications:
- Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
- Highly organized and able to handle multiple projects and deadlines.
- Experience with large venue set-ups and changeovers.
- Collaborative work style which promotes a team atmosphere.
- Ability to work in a diverse and fast-paced working environment.
- Business acumen that includes general operational processes and planning.
- Communicates effectively 1:1, in small groups and in public speaking events to various constituent groups.
- Writes precise, well-organized emails, letters, and proposals while consistently displaying accuracy and attention to detail.
- Ability to enhance innovation and new ideas with all team members.
- Working knowledge of Microsoft Office.
- Demonstrated experience and/or commitment to working effectively with individuals from diverse backgrounds, in support of an inclusive and welcoming environment.
- Previous exposure to University athletic programs preferred.
- At times, may need to lift 50 to 100 pounds and work at heights over 20 feet above ground level.
- Valid driver’s license.
- Previous managerial and supervision experience preferred
- Previous Event and/or Facility manager experience is preferred
