The Facilities Division of the USC Viterbi School of Engineering is seeking a Facilities Coordinator to join its outstanding team. This position reports directly to Viterbiâs Facilities Manager in the administration of day-to-day facilities operations of the School.
Enters online Facilities Planning and Management (FPM) work orders and service requests, generates internal requisitions for School operations, coordinates with FPM grounds and shops personnel and checks on completion of projects. Reviews work requests and contacts FPM Customer Resource Center to resolve possible billing, scheduling, status, and completion issues. Â Handles priority work requests by coordinating with appropriate Campus Offices and External Vendors. Â Works with Signage and Furniture Vendors to meet various Department needs within the School.
Prepares data for financial reports using the Universityâs Budget Administration System.  Monitors and analyzes facilities expenses. Reconciles facilities expenses to University financial records and initiates correcting entries. Assists with developing facilities cost projections, as required. Assists in overseeing and managing the Schoolâs Facilities Division budget.  Contributes to short and long range facilities planning.Â
Conducts routine maintenance inspections of facilities for deficiencies, safety hazards and/or code violations, such as field inspection for tripping hazards, obstructions, lighting, temperatures, signage and housekeeping issues. Â Works with FPM Special Services Department to expedite the removal of bulk items from common areas.Â
Works with Facilities Manager to coordinate and supervise work assignments of Student Workers as assigned, and oversee their work quality.  Â
Checks and revises space occupancy and floor plans for the Schoolâs space database as required.  Works with Facilities Manager to generate and maintain AutoCAD layouts and creates PDF format files for proposed space assignment changes. Contacts the Universityâs Space Management Department to update and resolve space allocation issues. Assists in maintaining accuracy of space and usage allocations and equipment requirements.Â
Responsible for ordering building exterior and interior keys and maintaining the Schoolâs key spreadsheet and entries in Space Manager database.Â
For lab and office renovations/remodels, submits Customer Services Requests to the Universityâs Information Technology Services Department (ITS) for new phone lines and data port activations. Â Follows up with ITS requests. Â
Coordinates trainings related to electronic lock operations. Maintains, manages and updates building electronic access control with the Universityâs USCard Services Department. Contacts Universityâs Department of Public Safety to provide manual access to buildings.
Assists in coordination of space relocation projects within the School. Interacts with University Departments and/or outside Contractors and Vendors for facilities operations, maintenance, construction, and renovation projects.  Â

Minimum Qualifications:Â
Undergraduate degree with 2 years facilities-related work experience. Combined work experience may substitute for minimum education.Â
Must be proficient with Microsoft Office Suite software including Excel, Word, PowerPoint, Access, and Project.Â
Must possess basic accounting and budgeting principles.
