Job Description:
POSITIONPURPOSE
With limited supervision, this position manages the office of the Vice President of Academic Affairs & Institutional Effectiveness (VPAA) and coordinates its relationship with all other administrative, academic affairs offices within the college, and with the external community; provides confidential office management and administrative services to the VPAA in leadership and direction to ensure support of daily operations; maintains official records of college regulations, academic policies and procedures; and all aspects of curriculum matters associated with the Academic Affairs and Standards Council (AASC).
This position is responsible in coordinating communications to include correspondence, reports and records between the office of Academic Affairs, St. Cloud Technical & Community College administration, faculty, and staff regarding such topics as department meetings, Minnesota State policies, curriculum, and paperwork associated with any of these items to ensure efficient management of the academic and student affairs administration office.
This position exists to provide support to the Human Resources office as an employee and labor relations representative for one or more departments at St. Cloud Technical and Community College and thus will be confidential as it relates to M.S. 13.17.
PRINCIPLERESPONSIBILITIESANDRESULTS
1. Manage the office of the Vice President of Academic Affairs (VPAA) and coordinate its relationship with all college administration, the Minnesota State System Office, various state agencies, colleges and universities, faculty, and staff.
2. Serve as personal and confidential administrative assistant to the Vice President of Academic Affairs. 3. At the direction of the VPAA and in coordination with the Academic Affairs and Standards Council (AASC) chair, manage curriculum processes; distribute proposals for curriculum revisions, additions, and deletions so this process is facilitated in an efficient and organized manner. 4. Perform other duties as assigned.
Required Qualifications:
Minimum Qualifications Knowledge of:
Communications sufficient to write, prepare, and edit materials, using correct spelling, punctuation, grammar, and sentence construction.
Various PC software applications, such as Microsoft Office, Outlook, Excel and SharePoint.
Skills in:
Customer service sufficient to respectfully engage with clients, coworkers, and customers, when handling difficult or complex problems and resolving escalated complaints or disputes.
Basic accounting procedures sufficient to prepare itemized statements, bills or invoices and record amounts utilizing principles and practices of budgeting and accounting to prepare reports.
Word processing, typing, desktop publishing, data entry, spreadsheets, and database management.
Ability to:
Interpret and relay departmental policies and procedures.
Preferred Qualifications:
Preferred Qualifications
Three years of work experience in an administrative/executive office or comparable setting.
Associate degree in Office Management, Business Management or comparable education.
Knowledge of human relations skills and interpersonal communications to exercise good judgment in the daily handling of a variety of unique and routine situations.
Knowledge of record keeping, program regulations and procedures, and general office practices.
Accomplished ability in disseminating, tracking, and managing time-sensitive materials to ensure that deadlines are met.
Experience in project management.
