Workflow is responsible for scheduling the work force productively through effective job planning. They will be a liaison between building occupants, Facilities Operations, and key stakeholders for logistics concerning facilities assets and manpower availability and will assist operations in developing a structured work plan to ensure efficient and effective use of available resources.
Job Description
Manage client specific portal for work order ticket process
Review requisitions, change orders, payment applications and other invoices associated with the project
Support staff responsible for specific sites to identify requirements, estimate costs, prepare schedules, and coordinate completion of required work
Participate in building evaluations (due diligence reviews) and assist with preparation of physical audit reports
Assist in the selection and contracting process of consultants and construction contractors, as necessary for each project
Issue regular status reports to personnel regarding work in progress
Get buy in and obtain appropriate approval for organizational changes, project plans and expenditures in excess of approved budget
Perform related assignments, as required, in the daily operation of the group
Quality Control
Gaining an understanding of the client's needs and requirements and communicating them and the quality standards to the operations teams.
Devising ways to improve the processes to ensure higher-quality delivery.
Devising, improving, and reviewing new specifications and procedures for processes, and training staff to use them.
Setting the requirements for subcontractorâ™s services and monitoring their compliance.
Supervising custodial staff members and providing guidance.
Ensuring legal obligations are followed and ensuring compliance with regulatory bodies and with health and safety guidelines.
Overseeing service delivery procedures to identify any deviations from quality standards.
Inspecting the final output, comparing it to the requirements, and approving or rejecting the final outcome.
Keeping accurate documentation and performing statistical analysis.
Gaining feedback from the clients, attending meetings, submitting reports, and assisting external auditors and inspectors.
Ensure assets are up to date and that all add/delete requests are processed in the CMMS.
Ensure assets have appropriate PMâ™s created and assigned by creating job plans and frequencies with technicians and management authorization.
Own the creation and distribution of asset tags.
Planning:
Ensure job plans are up to date and that all change requests are processed in the CMMS.
Determine labor craft and skill requirements for maintenance work and properly align with facilities personnel.
Support the selection of spare parts and min/max system based on preventative maintenance and criticality assessment.
Development of work packages including materials and documentation in support of maintenance work.
Maintain accurate asset inventory in CMMS.
Project Team/Project Scheduling
Coordinate maintenance work requirements to ensure effective and efficient optimization of resources.
Act as a liaison between Facilities group and requesting department/tenant for the purposes of coordinating maintenance work.
Coordinate and schedule contracted service providers for lead technician or management approved contracts.
Lead weekly scheduling meeting with facility and maintenance managers.
Reporting
Generate and distribute daily, weekly and monthly work reports.
Data collection in support of scheduled reporting.
Management:
Oversee and manage Project team
Schedule/Coordinate and supervise project team staff, including Assist Managers, Leads, Project Janitorial and Floor Tech staff.
Coordinate and direct on project schedules
Provide oversight, support and training to project teams, janitorial staff and zone management
Responsible for all Quality Assurance and Work Order Management for the account
Follows all contract/client specific requirements for utilizing client software and reporting
Responsible in making sure Account maintains agreed upon KPIs specified in the contract with the client
Management Equipment/Asset program for the Account
Manage/Delegate/Schedule Periodic Projects
Provide management support in the absence of Account Director
